How to Spread the Word

Imagine you need to get a message out to your vendors.  Perhaps a tornado blew through and took out your loading dock so deliveries need to be rerouted. Or less dramatic, but still significant, such as a change in ownership or a new product evaluation process.

How do you get the word out?

A similar question came up recently at the Health Care Compliance Association (HCCA) 2011 Compliance Institute in the Compliance and Service and Vendor Arrangements session.  When one of the speakers, Robert Nolan, VP corporate compliance at PharMerica, noted that in real life hospitals need to “provide all of your policies to the vendor” and “regularly send updates”, someone from the audience commented that he uses his vendor credentialing firm to do just that.

Vendormate knows from experience that 30% – 40% of the contact information in typical internal health system vendor files is out of date or inaccurate. But the contact information in your Vendormate vendor credentialing files is more accurate because it’s provided by your suppliers. Using your vendor credentialing program information for communications like this is also a great incentive for vendors to keep their information current.

VENDORMATE’S TAKE: Go a step further and think about how to reach the right person at your supplier to get the update.  Is it really the account rep or does it need to go to a manager or another administrator?  Because Vendormate links account reps to their employer, our records link 1000s of individual reps to a corporate-level credentialing administrator, someone who has the access and the responsibility to review the policies of every hospital for their company. These administrators serve as a backstop to make sure your message reaches all the right people in your supplier’s organization.
